Position Overview
The DHD Hub Site Manager is responsible for overseeing the daily operations, maintenance, and strategic improvements of the Healing Hub property. This role ensures the Hub remains a safe, functional, and accessible space for community programs while supporting the organization's mission. The ideal candidate will be highly organized, detail-oriented, and adept at managing facility operations, vendor relationships, and community engagement.
Skills and Experience
- Attention to Detail: Ensure the property is maintained at a high standard, addressing small issues before they become larger problems.
- Problem-Solving: Quickly respond to facility issues, identifying practical solutions and coordinating responses.
- Communication: Communicate effectively with staff, volunteers, board, external vendors, and community members.
- Project Management: Manage multiple projects, from routine maintenance to major renovations, ensuring they are completed on time and within budget.
- Organization: Keep track of budgets, maintenance schedules, vendor contracts, and facility needs with strong organizational methods.
Key Responsibilities
Community Engagement & Communication
- Engage with Community Members: Serve as a liaison between the Healing Hub property and the surrounding community, addressing any concerns or requests regarding the property.
- Facilitate Feedback: Encourage feedback from community members, staff, and volunteers regarding the condition of the facility and potential improvements.
Healing Hub Space Coordination
- Manage Facility Partnerships: Partner with Healing Hub Head of Programs and Executive Director in the building and maintenance of partnerships with external organizations or venues that offer space for Healing Hub programming (e.g., community centers, schools, libraries).
- Ensure Program Accessibility: Ensure that the Hub is accessible, welcoming, and provides the necessary resources for hosting various community programs, such as healing circles, workshops, and mutual aid activities.
- Coordinate Room Set-ups: Assist in the setting up rooms and spaces for community events, workshops, meetings, or healing circles, ensuring that the space is prepared in advance and supports the specific needs of each program
Monitor Property Resources: Manage the inventory of property resources (furniture, equipment, supplies), ensuring they are well-kept and accessible to staff and volunteers.
Energy Efficiency & Sustainability: Implement energy-saving measures, such as managing lighting, heating, and water usage, and exploring sustainable practices for the property (e.g., recycling, composting).
Facility Maintenance & Upkeep
- Oversee Property Maintenance: Ensure the Healing Hub's property is well-maintained, safe, and functional, addressing any repairs or upkeep needs in a timely manner.
- Coordinate Routine Inspections: Regularly inspect the building, grounds, and infrastructure to identify potential maintenance issues, including plumbing, electrical, and HVAC systems.
- Manage Service Providers: Hire, manage, coordinate contractors or vendors for specific maintenance tasks, such as cleaning, landscaping, or repairs, ensuring they meet quality and safety standards.
- Monitor Vendor Performance: Track the performance of vendors and service providers to ensure they are delivering services as promised and address any issues that arise.
- Preventive Maintenance: Develop and implement a preventive maintenance schedule for key equipment and systems to minimize unexpected breakdowns or safety hazards.
Health, Safety & Compliance
- Ensure Compliance with Regulations: Ensure the property complies with local building codes, fire codes, and health and safety regulations.
Safety Protocols: Develop and enforce safety protocols to protect staff, volunteers, and community members, including emergency evacuation procedures and first-aid supplies.
Coordinate Inspections: Facilitate regular safety inspections and ensure the building is compliant with all relevant regulations, including accessibility requirements (ADA compliance, etc.).
Address Health and Safety Concerns: Act quickly to address health, safety, or environmental concerns, including handling hazardous materials, pest control, or sanitation issues.
Manage Security Systems: Oversee security systems such as alarms, surveillance cameras, and access control measures to ensure the safety of the property and individuals.
Coordinate Building Access: Manage access to the property, ensuring that staff, volunteers, and community members have appropriate access while limiting unauthorized entry.
Emergency Preparedness: Ensure that emergency plans are in place for any potential threats (e.g., fire, break-ins, natural disasters) and ensure staff are trained in emergency protocols.
Budgeting & Financial Management:
- Oversee Property Budget: Partner with the Board Treasurer in the development and management of the budget for property-related expenses, including maintenance, utilities, and supplies, ensuring costs are within budgetary limits.
- Track Expenses & Invoices: Monitor and process invoices for property-related services and supplies, ensuring accurate record-keeping and timely payments.
- Cost-Effective Solutions: Identify opportunities to reduce operational costs while maintaining quality, such as negotiating with vendors or implementing efficiency measures.
Facility Improvements & Upgrades:
- Plan Renovations or Upgrades: Coordinate improvements or renovations to the Healing Hub property to enhance functionality, accessibility, or aesthetics (e.g., new building features, updated technology).
- Work with Leadership on Design & Vision: Collaborate with the Detroit Heals Detroit leadership team to align facility improvements with the overall mission and vision of the hub.
- Oversee Construction Projects: If applicable, oversee any major construction or renovation projects, ensuring work is completed on time and within budget, while maintaining minimal disruption to programming.
Reporting & Documentation
- Track Maintenance and Repairs: Maintain accurate records of all maintenance, repairs, and upgrades performed on the property, including timelines, costs, and any relevant documentation.
- Generate Reports: Provide regular reports on property status, maintenance needs, and budget performance to the leadership team.
- Document Property Policies: Develop and maintain clear policies and procedures for the usage, maintenance, and security of the Healing Hub property.
